WHMCS and your account

Understand a cancellation request and service expiry

Understand a WHMCS cancellation request, its service end date and the separate effects on hosting data, invoices, domains and mail.

Check cancellation effect

A cancellation submission does not prove that service or billing ended. Check its effective date and separate domain or add-on states.

WHMCS may offer immediate or end-of-period termination. Submission, approval, termination and any billing adjustment occur separately under the service terms; a request does not promise a refund.

Before requesting cancellation, identify the exact service and domain. Hosting, domain registration, email and add-on services may have separate subscriptions and expiry dates. Cancelling hosting does not automatically cancel or transfer the domain. If you intend to move a site, first complete migration, data export and verification at the destination.

Preserve what you need before choosing timing

Download an application-consistent backup of site files and databases, export mail if the mailbox is on the service, and record DNS configuration needed elsewhere. Verify that backups can be read or restored. Check any licences, DNS authority, scheduled jobs and domain registration that still depend on the service. If you need continuity, confirm the replacement site and mail service are live before the original service can be terminated.

Read the service’s next due date, paid-through period and relevant terms. A cancellation request close to a billing event may be processed on a different timeline from what you expect. Ask billing support for a written interpretation if the screen does not state when access and charges end.

Submit only for the intended service

In the verified client area, open the exact service and look for Request Cancellation or the provider’s equivalent if enabled. Read the displayed timing options and reason field. If the client area offers a choice to disable Auto Renew for a matching active domain, decide deliberately whether the domain must continue renewing; disabling it can allow the registration to expire. Choose each option only after checking your approved service and domain plan; “immediate” may lead to rapid loss of hosting access and data. If no cancellation control appears, ask the provider for its authorised process rather than deleting files or stopping payment as a substitute. Keep the confirmation or request number and the time submitted.

WHMCS documents that providers can process cancellation requests according to their settings and may require manual review. A submitted request is therefore evidence of a request, not proof of completion. Do not repeat it because the status has not changed within minutes.

Verify service and billing outcomes separately

Check the request status, service status and any provider confirmation. Verify the actual service remains available until the agreed end time, or has been terminated when confirmed. Review later invoices and payment mandates against the stated terms; do not assume an issued invoice vanishes when a request is submitted. Check the matching domain record separately, including its Auto Renew setting and expiry date, so registration and DNS remain under the intended control. If the domain renewal choice is wrong, contact the registrar or provider promptly through its supported process.

If the requested date or service is wrong, contact support immediately with the request identifier and ask whether it can be changed before processing. If termination has already happened, restore from your verified backup to the replacement service or ask the provider what recovery is available; restoration cannot be promised. Keep written confirmation of the final date and any outstanding balance or credit.

Illustrative result: a cancellation request is recorded while the service remains Active. Keep the replacement working and ask for the confirmed termination date; do not delete the original data yet.

A submitted request can coexist with an already issued invoice. Ask billing to reconcile it against the confirmed effective date.

Common questions

Does cancellation stop the next invoice automatically? It depends on timing, configuration and contract; verify the invoice and provider confirmation.

Will I keep my domain? A domain is a separate record; confirm its registrar, renewal and DNS arrangements.

Can I reverse immediate termination? Contact support at once, but recovery depends on whether data and backups remain available.
