WHMCS and your account

Understand a pending order versus an active service

Compare WHMCS order, service, domain and invoice states to understand why an order is Pending while access may already be Active.

Compare order and service

Read the order, service or domain, and invoice as separate records. A Pending order and Active service can coexist.

An order number proves only that an order exists. WHMCS tracks the order, each service or domain and its invoice separately; a service can be provisioned while its order remains Pending for review. Check each item's state before deciding what is ready.

This guide explains what to check in an account that has a valid order. It does not mean Novasean currently accepts new paid orders or that every product activates automatically. Product availability and access are governed by the current client area and service agreement. If the client area is in maintenance, use the published contact route rather than trying to bypass it.

Collect the identifiers and current views

Sign in directly through the known client-area address if it is available. Record the order number, order date and the names of each ordered item. Check the service or product detail page for its current status, the domain detail page if a domain was included, and the invoice page for its separate payment state. Screens and labels vary by template and account permissions. Do not use an email’s payment link as your only source of truth; compare it with the authenticated account.

Keep the exact status wording and a timestamp. A bundled order can contain a pending service, an active domain and an unpaid invoice at once. A client account marked Active is another distinct state; it merely describes the account, not each ordered service.

Interpret the main status combinations

Pending order, pending service: the service may be awaiting review or provisioning. Check for a staff message, missing setup information or an invoice, then ask support for the next action and expected owner. Do not make a second order to “unstick” it.

Pending order, active service: WHMCS can provision before an administrator formally accepts the order. Confirm the service detail, welcome or access information and actual function. Avoid interpreting the order label alone as an outage.

Active order, pending service: order acceptance and provisioning may have diverged. Report the mismatch; only the operator can inspect module actions and correct the record safely. Never assume the service exists just because the order says Active.

Active service, unusable site: the state may reflect provisioning rather than successful DNS, application or login setup. Test the specific endpoint and use the relevant technical guide. A pending domain transfer or registration is a separate issue from hosting activation.

Illustrative combination: if the order is Pending and the VPS service says Active, test the authorised VPS access route. Report that exact result rather than ordering another VPS.

Keep invoice and service questions separate

An invoice can be unpaid, paid, cancelled or otherwise handled independently of an order status. Confirm the actual invoice in the client area and retain the transaction reference. If payment has been made but the service remains Pending, contact support with the invoice and order numbers; do not pay again until the discrepancy is checked. If the invoice is due but the order is not available, ask support which action is appropriate. A receipt alone does not show that a domain registry has accepted a registration or that a VPS has been configured.

WHMCS can show domain statuses such as Pending Registration or Pending Transfer independently. For a domain, verify the registrar or registry result separately before changing nameservers or building a site around it.

Ask for a concrete outcome and verify it

In a support request, give the order number, affected item, each visible status, invoice reference, timestamp and the specific missing result: no service login, missing domain registration or a failed endpoint. Omit passwords and full payment-card details. Ask which party owns the next step and what evidence will show completion.

When the status changes, check the actual service endpoint and access route, not just the label. For a hosting account, confirm the panel works and the domain points to the intended site; for a VPS, verify authorised access and the agreed management boundary. If an order was cancelled or marked Fraud, follow support’s verified route and avoid repeated submissions until the cause is resolved.

A status change is only part of the result: test the specific service or domain function that prompted the query.

Common questions

Can an order be Pending while a service works? Yes. WHMCS can provision services before staff accept the order.

Does a paid invoice mean the service is active? Invoice status and service status are separate; check the service itself.

Should I reorder if I see Pending? No. First ask support about the existing order to avoid duplicates.
